Why Outlook Needs Help to Save PST Emails as PDF

Four points from Microsoft Support show where Outlook stops and where PCVITA Outlook PST to PDF Converter keeps going.

  1. 1

New Outlook Has No PDF Save Type

Microsoft Support says new Outlook leaves PDF out of its default Save as types. PCVITA creates PDF files straight from a PST file and adds layout, header, footer and attachment settings.

  2. 2

Print to PDF Starts From One Message

Microsoft points you to Microsoft Print to PDF, which ships with Windows 10 and 11. You open a message, select Print and choose that printer. Outlook PST to PDF Converter handles selected emails, folders or several PST files in one export.

  3. 3

Attachments Are Not in the Steps

Microsoft’s PDF steps do not mention attachments. PCVITA gives you three attachment modes, so files that came with an email stay with its PDF.

  4. 4

    PST Items Need Classic Outlook

Microsoft lists PST import as unsupported in new Outlook and says contacts and calendar items stored in PST files are unavailable there. PCVITA opens the PST file itself, so Outlook can stay closed or missing.

Prepare Before You Export PST Emails to PDF

Six quick checks save you a second export. Finish them and your first export goes smoothly.

  1. Back up your PST file in a safe folder first. Your original mail stays untouched while you test settings.
  2. Install Microsoft .NET Framework 4.5 or newer. Windows needs 500 MB of free disk space and 4 GB of RAM.
  3. Start the software with Run as Administrator on a Windows machine.
  4. Choose an attachment mode and a destination folder. The three modes give different results.
  5. Plan your file names and Bates numbers if the PDF files go to a legal team or an archive.
  6. Test the free demo on your own file. Download Outlook PST to PDF Converter demo and check the PDF files it creates.

Hardware lines repeat in the Specifications table and Outlook limits link to the Microsoft pages under Sources.

How do I save Outlook emails as PDF from a PST file?

Add the PST file and select PDF at the export step. Outlook PST to PDF Converter opens the file without Outlook and saves chosen emails as PDF. Microsoft’s own route prints one open message at a time with Microsoft Print to PDF.

Can I export many Outlook emails to PDF at once?

Yes. Select several emails, folders or several PST files and click Export. Outlook PST to PDF Converter creates the PDF files in one job. Only the free demo caps the count, at 25 items a folder.

Which attachment options does the PDF export offer?

Three. Attachment on Pin, Append Attachment and Save Attachment sit in the Attachments settings. Select one before you click Export and preview the Attachments view first to see which files an email carries.

Can I convert a corrupt PST file to PDF?

Yes. Tick Advance Scan before you click Add and the converter digs through the damaged data for mail it can export. When Outlook cannot open the file at all, Outlook PST Repair Tool repairs it first.

Can I convert only selected emails or a date range to PDF?

Yes. Mark the emails you want in the preview and export just those. Date filter keeps mail from one period and Categories limits the job to Mails, Contacts or Calendars.

Can I save many emails as one PDF file?

Yes. Tick Create Single PDF on the destination screen before you export. Leave it unticked to get a separate PDF for every email.

Can I add Bates numbers, a header and a footer to the PDF files?

Yes. Page Layout holds header text, footer text, margins, orientation and page size. Bates Number settings add a number format and a date stamp.
