Export Exchange Mailbox to PST in 6 Steps
Six screens take you from the source choice to your finished PST file. Click a step to preview its screen or follow every step in the Software Guide.
Step 1. Select Exchange and Outlook PST
Open PCVITA Exchange Export Tool and activate your licence if you have one. Select Exchange as the source and Outlook (PST) as the destination. Select Help to see the export modes and the prerequisites.
Step 2. Choose Categories and Dates
Select the mailbox categories you want to export. Use the Date Range Filter for a selective export and click Next.
Step 3. Enter Exchange Server Details
Select your Exchange Server version. Enter the Admin Email, Admin Password, Active Directory IP and Exchange Server IP. Select Include Sub Domain to reach mailboxes in sub domains.
Step 4. Validate Source and Destination
Click Validate to check the source permissions and click Next once they pass. Browse to the folder for your PST file and keep its path at 20 characters or less. Validate the destination and click Next.
Step 5. Select and Validate Users
Click Fetch Users to load mailboxes from the source domain or Import Users to load a CSV file. Download Template gives you a sample CSV. Search a mailbox, switch on Show Selected to review your choices and validate the selected users. Click OK when validation completes.
Step 6. Start Export and Get Reports
Click Start Export. Licence quota check appears before Start begins the job. Mailboxes that finish show under the Completed tab. Download Report saves a Summary Report or a Detailed Report. Open the PST file in desktop Outlook.

PowerShell Export Works on Premises Only
Microsoft Learn states that the Exchange export request cmdlet is available only in on premises Exchange. PCVITA software reaches live Exchange Server mailboxes through an admin login.

Prepare Before You Export Exchange Mailboxes

- Apply impersonation to the admin account. Microsoft allows only accounts with the ApplicationImpersonation role to use it. See Impersonation and EWS in Exchange.
- Install Outlook and configure a dummy profile. Use any valid or dummy account or a POP3 account, not an Exchange profile.
- Sign in to Windows as administrator on the export machine. For Exchange 2003 and below that machine joins the same domain as the server and holds FULL access permission to the mailboxes.
- Note your server details. Keep the Admin Email, Admin Password, Active Directory IP and Exchange Server IP at hand.
- Choose a short destination folder with free disk space. Limit the folder path to 20 characters.
- List your mailboxes. Use Fetch Users or fill the sample CSV from Download Template.
