Export an EDB File to PST in 6 Steps

Six screens show the export from loading the database to opening the PST. Select any step tab to open its screen. Software Guide has the full walkthrough.

Add File window with the Select File and Search File options

Step 1. Load Your EDB File

Start the software from the Start menu and click Add File. Add File opens a window with Select File and Search File. Select File opens a browse button for one EDB file. Open loads it. Search File finds EDB and STM files on Search Selected Drive or Search All Drive. Tick your files and click Add.

Scan mode options for the loaded EDB file

Step 2. Select a Scan Mode

Quick Scan processes healthy or lightly corrupted databases in less time. Advanced Scan goes deeper when Quick Scan shows no data or when the EDB file is highly corrupted. Advanced Scan recovers permanently deleted mailboxes or items from a loaded EDB file and works on 64 bit Windows. Scanning starts once you click Add.

Mailbox item preview with the Mail, Calendar and Contacts tabs

Step 3. Save the Scan and Preview Mailboxes

When the scan ends a success message appears. Click Yes to save the scan results. Every Exchange mailbox inside the scanned EDB file then shows in the left panel. Open the tabs for Mail, Calendar, Contacts, Notes, Journal and Folder list. Mail has eight views, from Normal Mail and Hex to MIME, Message Header and Attachments.

Advanced Setting window with the Split PST, Date Filter and Categories options

Step 4. Select PST and Open Advanced Setting

Click Export to save all mailboxes or Export Selected to save only the emails, contacts or calendars you checked. Select PST and click Advanced Setting. Split PST limits the PST size, Date Filter sets a date range and Categories select mails, contacts or calendars. Click Save and confirm the Settings saved successfully message with OK.

Destination path with the Maintain Folder Hierarchy option

Step 5. Choose a Folder and Click Export

Click Browse, select a destination folder and click OK. Your path shows in the export window. Tick Maintain Folder Hierarchy then click Export. Export ends with a confirmation message. Success and fail counts show in the window.

Final PST file after the export

Step 6. Save the Report and Open the PST

Save the Export Report as a CSV file, choose a location and click Save and OK. Preview the CSV to check the counts. Open the destination folder to find the final PST file, then import or open it in Outlook 2019, 2016, 2013, 2010 or 2007.

EDB to PST Export Software Features

What PCVITA does with your Exchange database on the way to a PST file, grouped by task.

Loads Offline EDB Files From a Folder or a Drive

Every export starts with a loaded database, so PCVITA gives you two routes in.

  • Select File Loads One Database

Use the browse button to find your EDB file and click Open. Your database loads into the software panel.

  • Search File Finds Many Databases

Search File lists the EDB and STM files on your drives. Tick the databases you need and click Add.

  • Search Selected Drive or Search All Drive

Search one drive when you know where the database sits. Search all drives when you do not.

  • Private Mailboxes and Public Folders

Export private mailbox databases and public folder databases together in one job.

  • Unmounted and Offline Databases

Load unmounted databases from Exchange 2003 to 2019 without a live Exchange server.

Exports Items From Corrupted Databases and Decrypts Emails

Two scan modes and an encryption option prepare the data for the PST.

  • Quick Scan for Healthy Files

Quick Scan processes healthy and lightly damaged databases in less time.

  • Advanced Scan for Damaged Files

Advanced Scan handles highly corrupted databases and works on 64 bit Windows. Switch to it when Quick Scan shows no data.

  • Permanently Deleted Items

Advanced Scan recovers permanently deleted mailboxes or items from a loaded database, so they reach the PST too.

  • Saved Scan Results

Click Yes after the scan to save the results and see the folder hierarchy in the left panel.

  • S/MIME and OpenPGP Removal

Remove S/MIME encryption with certificates and OpenPGP encryption with public and private keys. Keep your keys and passwords ready.

Previews Every Mailbox Before the PST Export

Preview shows what sits inside the EDB file before you save a single item.

  • Mailbox List in the Left Panel

Left panel lists the scanned EDB file and every Exchange mailbox in it.

  • Tabs for Mail, Calendar and Contacts

Switch between Mail, Calendar, Contacts, Notes, Journal, Folder list and Tasks.

  • Eight Views for Every Email

Normal Mail, Hex, MIME, Message Header, HTML, RTF, Properties and Attachments views show a message in detail.

  • Attachments in the Preview

Attachments show next to their emails, so you confirm them before the export.

  • Email Headers Stay Intact

Metadata like To, Bcc, Subject, From and Sender details carries over into the PST.

Shapes the PST With Size, Date and Category Options

Every option is optional, so the PST holds only what you need.

  • Split PST by Size

Set a size limit and large databases save as several smaller PST files.

  • Date Filter

Export only the items from a date range instead of the full mailbox.

  • Category Filter

Choose mails, contacts or calendars and leave the rest behind.

  • Export or Export Selected

Export saves every mailbox. Export Selected saves the emails, contacts or calendars you checked.

  • Folder Hierarchy and CSV Report

Maintain Folder Hierarchy keeps the original structure. CSV report lists the success and fail counts. PDF, MBOX, HTML, EML and MSG sit on the same Export screen.

Why Microsoft Steps Slow Down an Offline EDB Export

Four points from Microsoft documentation for Exchange Server 2016, 2019 and Subscription Edition. PCVITA software takes them out of your job.

  1. 1

Export Requests Start From a Mailbox Name

Microsoft New-MailboxExportRequest takes a mailbox name and saves a .pst file to a UNC path. PCVITA software starts from the EDB file itself.

  2. 2

    Recovery Database Setup Comes First

Microsoft copies the database and log files into a recovery database folder, creates the recovery database, restarts the Information Store service and mounts the database before data comes out. PCVITA adds the EDB file straight to its panel.

  3. 3

    Eseutil Must Reach Clean Shutdown

Microsoft says restored databases land in a dirty shutdown state, so Eseutil /R must bring them to clean shutdown. PCVITA software scans the EDB file and lists its mailboxes for preview.

  4. 4

Roles and Shares Add Setup Work

Microsoft needs the Mailbox Import Export role, which no role group holds by default, plus Read/Write permission on the UNC share for the Exchange Trusted Subsystem group. PCVITA software saves to any folder you browse to.

Prepare Your EDB File Before the Export

Seven checks save time on your first job. Tick them off and start the export.

  1. Copy the EDB file and its STM file from the Exchange server or your backup to a local folder. The original database stays untouched.
  2. Check the system needs. Install Microsoft .NET Framework 4.5, free 100 MB of disk space and plan for 4 GB RAM.
  3. Open the software with administrator rights. Windows 10, 8.1, 8 and 7 users select the Run as Administrator option.
  4. Choose the scan mode. Quick Scan fits a healthy file. Advanced Scan fits a corrupted file and needs 64 bit Windows.
  5. Decide on the Use Outlook option. The export works without Outlook. Tick Use Outlook only when Outlook sits on the PC with a valid or dummy POP3 profile.
  6. Keep certificates, keys and passwords ready if the emails carry S/MIME or OpenPGP encryption.
  7. Test the free demo on your database before you pay. Download the demo edition and test the PST output.

Specifications below list the same system needs. Microsoft lines follow the pages in the Sources list.

Microsoft facts come from Procedures for mailbox exports to .pst files in Exchange Server (Microsoft Learn) and Restore data using a recovery database in Exchange Server (Microsoft Learn). Microsoft lists Exchange Server 2016, 2019 and Subscription Edition for both pages. Facts about PCVITA software sit in the Features and Specifications sections.

Before You Use Exchange Tools to Make a PST

  • The Mailbox Import Export role sits in no role group by default. A permission change needs a log off and log on before it works.
  • Missing Read/Write permission on the UNC share for Exchange Trusted Subsystem returns errors during the export.
  • Exchange admin center creates export requests. Viewing, changing and removing them needs the Exchange Management Shell.
  • Restored databases need Eseutil /R before a recovery database can mount them.
  • Windows Server Backup restores file level backups to a recovery database and skips application level backups.

Those steps do not fit an EDB file that has no server behind it. Add the file to PCVITA software and click Export instead. Software Guide walks through every window.

PST Export FAQs for Exchange Databases

Answers to questions users ask before and after an EDB export, grouped by topic.

Working and Limits How the export behaves with your database

How do I export an EDB file to PST with PCVITA?

Six steps move an EDB file into a PST.

  1. Step 1. Launch the software and click Add File.
  2. Step 2. Select the EDB file or search a drive.
  3. Step 3. Choose Quick Scan or Advanced Scan.
  4. Step 4. Save the scan and preview the mailboxes.
  5. Step 5. Click Export, select PST and set Advanced Setting.
  6. Step 6. Browse to a folder, tick Maintain Folder Hierarchy and click Export.
Do I need Eseutil before I convert an EDB file?

No. PCVITA scans the EDB file itself, so the Eseutil /R step Microsoft requires for a recovery database does not apply. Add the file, choose a scan mode and preview the mailboxes. Open Exchange Database Recovery when you want the Eseutil steps for the database itself.

Can PCVITA export a corrupted EDB file?

Yes. Advanced Scan handles highly corrupted EDB files. Preview shows what the scan found before you export. PCVITA saves the items to PST and does not repair the database file. Open EDB Repair Tool when you need the database file itself repaired.

Can I move mailbox data from an old Exchange database to a new server?

Yes, through PST files. Export the mailboxes from the old EDB file, then import the PST files into the mailboxes on the new server with Outlook. PCVITA does not restore the database to a server. Exchange Database to New Server Migration covers a direct move.

Can I use an EDB file taken from a backup?

Yes. Copy the EDB file and its STM file out of the restored backup folder to a local drive and add them with Select File. No Exchange server needs to be online. Windows Server Backup restores only file level backups to a recovery database, which makes a direct file copy simpler.

Can the software split a large PST file?

Yes. Click Advanced Setting after you select PST and use Split PST to limit the PST size. Large databases then save as several smaller PST files that Outlook opens without trouble.

Can I export only some mailboxes or dates?

Yes. Check the emails, contacts or calendars you want and click Export Selected. Date Filter sets a date range and Categories select mails, contacts or calendars. Your PST then holds only those items.

Demo and Price Demo limit and license price

What does the free demo export?

25 items from every folder. Demo edition adds EDB files, scans them, previews every mailbox and saves the sample to PST. Full edition removes that limit.

How much does PCVITA EDB to PST software cost?

$99. Full edition exports every item in your EDB files and carries a 30 day money back guarantee. Your download link and activation key arrive by email within 15 minutes.

Where do I download the software?

Select Download Now above. Demo edition downloads as version 3.0, 34.6 MB, for Windows. Install it, add your EDB file and check the PST before you buy.

Compatibility and Files Exchange, Outlook and Windows versions, folders and encryption

Which Exchange Server and Outlook versions work?

Exchange Server 2019, 2016, 2013, 2010, 2007 and 2003 in both 32 bit and 64 bit builds. Outlook 2019, 2016, 2013, 2010, 2007 and 2003 are listed. Unicode PST files open in Outlook 2007 to 2019.

Which Windows versions does the software need?

Windows 10, 8.1, 8 and 7 in 32 bit and 64 bit, plus Vista and Windows Server 2003, 2008 and 2012. PCVITA needs Microsoft .NET Framework 4.5, an Intel Core 2 Duo E4600 processor, 4 GB RAM recommended and 100 MB free disk space. Start it as administrator.

Do I need Outlook installed to export to PST?

No. Export works with and without Outlook. Tick Use Outlook for quicker and more exact results. That option needs Outlook with a valid or dummy POP3 profile.

Can the software export public folder databases?

Yes. Public folder databases and private mailbox databases both load, along with their STM files. Search File finds several databases on a drive in one search.

Can the software remove S/MIME and OpenPGP encryption?

Yes, if you hold the keys. Remove S/MIME encryption with certificates and OpenPGP encryption with public and private keys. Emails save to PST without data loss.
