Why Lotus Notes PDF Export Needs More Than Save as PDF
Three points from the HCL Notes help page on PDF export, followed by the PCVITA response.
- 1
Notes Exports From an Open Email or Document
HCL help starts the export at the email or document you want, then File, Export, Save as Type, PDF. PCVITA loads every NSF file and folder you add in one job.
- 2
Windows Needs a PDF Printer
HCL says Windows machines require a PDF printer to support PDF exports. PCVITA lists Lotus Notes and Microsoft .NET Framework as prerequisites and names no PDF printer.
- 3
Email Threads Expand in the PDF
HCL says email threads expand automatically when exported as PDFs. PCVITA lets you filter by date and select folders, so you choose what reaches the PDF.
Prepare Lotus Notes and Your NSF Files Before Conversion
Seven checks before the first job. Mark them off, then open the converter.
- Install and configure the Notes client at version 9.0.1 or earlier. PCVITA reads NSF files through it.
- Collect your NSF files and names.nsf in a single folder.
- Find the password and the User ID file of any protected NSF file. Disable NSL in the User ID file.
- Replicate an encrypted NSF file without encryption and convert the copy, because encrypted NSF files are not supported.
- Compact the NSF file on the Domino server before you add it, if DOAS is on.
- Check your PC for Microsoft .NET Framework 4.6.1 or above, 150 MB free disk space (5 GB recommended for exporting) and 4 GB RAM. Keep an internet connection for licence activation.
- Test the free demo first. Download the NSF to PDF Converter demo and open it with Run as Administrator.

PDF Output and Settings Settings that shape the PDF files
How do I convert NSF to PDF with attachments?
Six steps convert NSF emails to PDF.
- Step 1. Install PCVITA and launch it as administrator.
- Step 2. Load your NSF files, a folder or a Domino mailbox.
- Step 3. Select PDF in the export list.
- Step 4. Tick the item types and set the Date Filter.
- Step 5. Open the Page Layout, Attachments and Bates Number tabs.
- Step 6. Browse to a destination folder and click Export.
Can I convert many NSF files to PDF at once?
Yes. Add Files loads several NSF files and Add Folder loads every NSF file in a folder in one job. PCVITA searches the subfolders for NSF files too. Need to join files first? Open the NSF Merger.
What happens to attachments in the PDF?
You choose from three options. Attachments tab saves Lotus Notes attachments in their original folder. Another option converts them to PDF and appends them at the end of the email. Pin, the third option, adds an attachment inside the PDF.
Can I add Bates numbers to the PDF files?
Yes. Bates Number tab sets the start number, the number of digits and the increment. Further options sit in the same tab.
Can I convert only some Lotus Notes emails to PDF?
Yes. Tick the Date Filter, choose the dates and PCVITA converts only the NSF items from that period. Select the data types and use Include Folder for Conversion to narrow the job further.
Can I convert Lotus Notes contacts, calendars and tasks to PDF?
Yes. Tick Contacts, Calendars or Tasks next to Mail in the category screen. Duplicate filtering applies to contacts only, so repeated entries stay out of the PDF.
Does the converter keep my Notes folder structure?
Yes. Select Maintain Folder Hierarchy in the Advance Conversion Options and the destination mirrors your NSF folders. Choose a Naming Convention to set the PDF file names.
Demo and Licence Demo cap, price and activation
What does the free demo of the NSF to PDF Converter do?
Everything except a full export. Demo edition loads NSF files and applies filters and PDF settings. It converts 25 files from every folder to PDF.
How much does the full edition cost?
$69. Full edition removes the 25 file limit and comes with a 30 day money back guarantee. Your activation key arrives by email after payment.
Does the converter need an internet connection?
Yes, for the licence. PCVITA needs an internet connection to activate the full edition and check the licence. Conversion itself reads your local NSF files.
Lotus Notes and Windows Client versions, Windows and protected files
Do I need Lotus Notes installed to convert NSF to PDF?
Yes. PCVITA reads NSF files through the Notes client, so install and configure the client on your PC first.
Which Lotus Notes versions does the converter support?
Lotus Notes 9.0.1 and every version below it. Install the client on the same machine as PCVITA and launch the converter as administrator.
Which Windows versions can host the NSF to PDF Converter?
Windows 10, 8 and 7 in 32 and 64 bit, plus Windows Server 2016, 2012 R2 and 2008. Your PC needs Microsoft .NET Framework 4.6.1 or above and 4 GB RAM is recommended.
Can the converter open a password protected NSF file?
Yes. Type the password in the Provide Lotus Notes Password box and use a User ID file that is NSL disabled. Encrypted NSF files are not supported, so replicate the file without encryption first.
Can I add NSF files straight from a Domino server?
Yes. Choose the Domino server option, enter the server IP address and your password. PCVITA then fetches the mailbox. Compact the NSF file on the server first when DOAS is enabled.
